PayoutSentry

Shopify deposits the net.
Your books record the net.
That's where money goes missing.

PayoutSentry compares every Shopify payout against what was actually recorded in QuickBooks, and tells you when something doesn't add up.

The problem

Shopify doesn't deposit what you sold. It deposits what's left after fees, refunds and adjustments come out. A $5,204.18 day arrives at the bank as $4,847.23.

If your books record only that $4,847.23 as revenue, two things go wrong at once: sales are understated, and the $312.40 in fees is never recorded as an expense. That deduction is lost.

The hard part is that nothing looks wrong. The deposit matches the bank statement, the bank reconciles cleanly, and the error only surfaces if someone compares each payout against the journal entry behind it. Nobody does that every month.

What PayoutSentry does

Every day it pulls your Shopify payouts and your QuickBooks activity and compares them one by one. Each payout lands in one of five buckets:

StatusWhat it means
All clearBoth the deposit and the fee are recorded correctly
Missing feeThe deposit is right, but the Shopify fee never made it in as an expense. This is the one that costs you the deduction
Not recordedThe payout doesn't appear in your books at all
Amount mismatchIt's there, but for a different amount
DuplicateThe same payout is entered more than once

It only writes when there's something to say

You will never get a daily email telling you everything is fine. An email like that trains you to archive it unread, and the day it carries a real problem, nobody opens it.

We don't touch your customers' data

We read: payout amounts, fees and refunds, plus the deposits and expenses in your books.

We don't read: orders, products, or anything about your buyers. The app has no permission to see them.

We don't write: anything, anywhere. Access is read-only in both systems.

That isn't a pledge — it's the scope of the permissions the app requests. If it tried to read an order, Shopify would refuse. You can revoke access at any time by uninstalling the app.
